Who is responsible

The short version

• We collect what you type into our forms. We do not buy contact lists for this site or sell your information.
• Your carrier fit-check answers stay in your own browser until you submit your contact details. If you never submit them, we never receive the answers.
• No advertising or analytics tracking script runs on these pages.
• One exception to the line above: typing a ZIP code into the fit check asks a public postal-code service for the matching city and state, so that ZIP code leaves your browser before you submit anything. Details below.
• The Ship With Us form does not transmit anything to us on its own. It drafts an email in your own email app, and you decide whether to send it.
• A person reviews every inquiry. The fit score is a preparation aid, not a decision about you.

What we collect and why

Carrier fit-check answers

The fit check asks for equipment type and length, trucks ready to dispatch, your home-base ZIP code, operating-authority status, preferred operating model, current weekly gross range, estimated cost per mile, your primary dispatch challenge, and optional notes. Those answers are held in your browser's session storage and are used there to calculate the fit result you see on screen.

They reach us only when you complete the contact form in the booking dialog. At that point the answers, the calculated fit score, and the fit tier are attached to your submission so that the person who follows up already knows your operating picture and does not have to ask you twice. Closing the tab, or selecting Start over, clears them from the browser.

The ZIP code lookup

When you enter a home-base ZIP code, the page asks Zippopotam.us ↗, a free public postal-code service, for the matching city and state so you do not have to type them. Your browser makes that request directly, and the ZIP code is the only thing it contains. Nothing else from the fit check is included, and Zenkai does not receive anything from that service. This is the one request these pages make to an outside service before you submit a form.

Contact details you submit

The booking dialog on the dispatch page hosts a HubSpot form. What you enter there, such as your name and email address, goes to Zenkai's HubSpot CRM account and is used to contact you about your inquiry and to keep a record of it.

The dialog also describes SMS verification and a secure carrier portal as later steps. Neither is connected today. This site does not send text messages, and there is no portal account to create from it. If those are switched on, we will update this notice first.

The carrier dashboard preview

The carrier dashboard preview collects nothing. It has no sign-in, it shows fixed sample figures written into the page, and it is not connected to any carrier record. Changing the fleet selector only swaps between sample sets already in your browser.

How you found us

If you arrive from a link that carries campaign values in the web address (utm_source, utm_medium, utm_campaign), we keep those values with your submission so we can tell which outreach or listing brought you here. The site also generates a random request identifier for your session, which we use to avoid creating duplicate records for the same inquiry. That identifier is not tied to your identity and is not used to follow you across other websites.

Freight requests from shippers

The Ship With Us form works differently on purpose: it assembles the shipment details you entered into a draft email in your own email application, addressed to support@zenkaitransport.com. Nothing is transmitted to Zenkai unless you send that message. Once you send it, we receive and retain the contents of your email, and we handle it as business correspondence.

Technical records from hosting

Like any website, this one is served by a hosting provider that records standard request data such as IP address, browser type, requested page, and time of the request. Those records exist for security, abuse prevention, and availability. We do not use them to build a profile of you.

Cookies and tracking

Zenkai does not install an analytics, advertising, or visitor-tracking script on these pages, and we do not set our own tracking cookies. The fit-check answers described above are kept in session storage, not in cookies, and are cleared when you close the tab.

The contact form is served by HubSpot from HubSpot's own domain. Cookies or similar storage that HubSpot sets in that context are governed by HubSpot's own privacy policy, linked below. The ZIP code lookup described above is a single request for city and state, not a tracker, and it sets nothing in your browser. If Zenkai later adds analytics or a marketing tracker, this notice will be updated before that happens.

Who else handles it

We use a small number of service providers to run the business. They may process your information on our behalf for the purposes described here, and not for their own marketing.

• HubSpot — hosts the contact form and stores our CRM records. See the HubSpot privacy policy ↗.
• Our website host — serves these pages and keeps the technical request records described above.
• Zippopotam.us — answers the ZIP code lookup described above. It receives the ZIP code and your browser's own connection details, and nothing else about you.
• Google Workspace — carries email sent to and from our @zenkaitransport.com addresses.

We may also disclose information when the law requires it, to protect our rights or safety, or to a professional adviser bound by confidentiality. We do not sell personal information, and we do not share it for cross-context behavioral advertising.

How long we keep it

• Fit-check answers in your browser: until you close the tab or select Start over.
• Inquiries and CRM records: while we are evaluating or serving the relationship, and afterward for our business and tax records. You can ask us to delete yours sooner.
• Email correspondence: retained in our business mailbox as ordinary correspondence.
• Hosting request records: kept for the short operational period our host retains logs.

Your choices and requests

Email support@zenkaitransport.com to ask for a copy of what we hold about you, to correct it, to have it deleted, or to stop hearing from us. We honor those requests as a matter of practice, whether or not a particular privacy law applies to your situation, and we will respond within a reasonable time. We may need to confirm who you are before acting, and we may keep the minimum needed to meet a legal or recordkeeping obligation.

You can also stop the collection described here at any time by not submitting a form. Nothing on this site requires you to identify yourself in order to read it.

What not to send us

Please do not put Social Security numbers, driver's license or medical images, bank or card numbers, or other sensitive personal information into these forms or the notes fields. We do not need it to evaluate fit or a shipment, and we will ask for anything genuinely required through a secure channel later. This site is not directed to children, and we do not knowingly collect information from anyone under 16.

Changes to this notice

If our practices change, we will revise this page and update the date at the top. Material changes to what we collect or who we share it with will be reflected here before they take effect.
